ATHLETE CHECK-IN
Clearly post and email your check-in time to all registered athletes. Make it clear they should not show up at 9am. The time allocated for check-in depends on how many athletes are participating. Typically check-in from 8-8:30 and warm up from 8:30-9 works well. Stragglers can check-in while others are warming up. Our scoring system makes it easy to check-in athletes. The check-in process is described in detail [HERE]. If you are collecting a waiver form be sure you get one from each Athlete.

ATHLETE WELCOME
It is a good idea to take 10-15 minutes to welcome your Athletes and brief them on the procedures for the event. If you are selling items or hosting a BBQ or other form of After Party this is a good time to remind everybody.

MANAGING HEATS
The most important aspect of heat management is keeping athletes informed before and during the event. The #1 complaint we hear from athletes is the didn’t know when they had to WOD throughout the day. Post heat times at your location and communicate any changes directly to the affected athletes.

JUDGING
We provide score sheets for Judges to use during the event to make their job as easy as possible. When you brief the athletes before the event begins make sure you remind them that the judges are volunteers and any problems should be addressed with the event organizers and not directly with the judge.

SCORES
We provide a simple form that can be printed and used to record an athlete’s scores. When the WODs are released the form will be available [HERE]. Standings automatically update every 5 minutes. We suggest you display the standings on a couple screens and enter each athlete’s score for a WOD as soon as it is available. Athletes can then easily keep track of their standing compared with other athletes locally and nationally. The scoring system is easy to use and is described in detail [HERE].

AFTER PARTY
This event is a great opportunity to attract new and retain existing athletes. Invite participants, their family and friends to join you for a BBQ after the event.

SELL STUFF
Ice Cold Drinks
Water and Soda: Purchase water and soda in bulk and place in a large tub of ice the day of the event. Make sure you give it enough time to get cold. We find 2 smaller tubs of ice are better than 1 large tub of ice. Sell from one tub until it is empty. Then sell from the second tub so new product placed in the first tub has time to get cold.
Beer: Selling beer is generally more trouble than it is worth. If you want to sell beer be sure to comply with all local rules; you’ll probably need to pay for a special permit. Check with your landlord; they may have an opinion about this matter. Check with your insurance company; you may need to pay for a special one-day rider on your policy.
Coffee
Pour Over Coffee: Usually the biggest issue with this item is keeping up with demand. Ingredients: High quality coffee and hot water. We use the espresso setting on the coffee grinder. Offer regular, decaf and 50-50 mix. Steps: Place Pour Over Single Cup Brewing Cone on cup. Place #2 cone filer in the Brewing Cone. Place 1 heaping tablespoon ground coffee in the filter. Slowly pour 12 oz hot water on the ground coffee. Be sure to provide cream, sugar, napkins and stir sticks.
Keurig Coffee: If you have access to a robust Keurig system it may be fast enough to keep up with demand. Using Keurig is certainly easier than doing pour overs but the cost is much higher per cup.
Tea: When selling coffee it is easy to add tea as an option.
Homemade Snacks
Ask Grandma to make her famous cookies and muffins. We suggest you always include a few Paleo items. Grandma might need a little help with the Paleo thing. Below are recipes we find sell well. Be sure you follow all local rules for selling food items. Generally baked goods are much easier to deal with than meat products. Contact Us with recipes you use that are well received.
Peanut Butter Fudge: Makes 16 – 2″ squares in an 8″ by 8″ pan. Ingredients: 1/2 cup peanut butter. 2 cups sugar. 1 cup milk. 2 tablespoons butter. 1/2 teaspoon vanilla. Steps: Bring sugar and milk to a soft boil: 235-240 degrees as measured with a candy thermometer. Remove from heat and add butter, vanilla and peanut butter. Stir until cool and thick. Spread into 8×8 pan and let set until solid. Options: Add chopped nuts while stirring and/or to the top when placed in the 8×8 pan.
Purchased Snacks
Purchase standard snacks like chips in bulk from Sam’s Club, Costco, etc. We suggest you also offer healthier products tailored for the Athletes’ needs.
